POSITION SUMMARY

The Project Manager is part of the operations team within First Protocol who develop and provide clients with a customised service offering based on specific project delivery needs. First Protocol have a wide portfolio of clients who harness our services for the delivery of integrated communications and live events around the world. Our clients spans multiple industries including Financial Services, Aerospace, Medical, Technology and the Media. The events that we create range from high profile investor conferences, private equity annual investor meetings, to tailor made social programmes and gala dinners. Our commitment to our clients and to delivering flawlessly set us apart and the Project Manager role plays a critical part in our success.

KEY ACCOUNTABILITIES

1. Event delivery: Lead/support in the design and delivery of high quality live events across multiple clients through proactive, creative thought leadership and outstanding project management.

2. Client relationship development: engage with prospective and existing clients to build relationships based on mutual trust and partnership, ensuring that FP develop, grow and retain the ongoing commitment of our clients.

3. Budget Management: Excellent creation, management and reconciliation of event budgets to ensure adherence to client brief/budget and strong FP profit margins.

4. Supplier and partner management: Constantly strive to deliver exceptional experiences for clients by leveraging strong partnerships with appropriate suppliers and venues.

KEY RESPONSIBILITIES

Event Delivery

Manage multiple key events from initial briefing through to final reconciliation and debrief

Effective management and leadership of project teams through pre event planning and onsite delivery

Support the Operations Director to ensure best practice within Operations by following and adhering to all SOP and standards ensuring they are adopted and maintained at all times by all First Protocol representatives

Escalate any problems or issues that you are unable to resolve in a timely manner

Capture key intelligence to enable knowledge sharing, efficiency and future improved performance

Positively encourage and promote sustainability across all event planning

Client Relationship Development

Work in partnership and as a trusted advisor to understand client’s business, organisation and brand to ensure solutions meet client needs

Build excellent relations with clients through positive, precise, clear verbal and written communications

Be proactive, solutions driven and consistent to ensure service excellence across multiple client relationships and projects

Through development of long term relationships with clients identify and secure new business opportunities

Assist when required in contributing to project pitch documents and proposals that answer the client brief

Budget Management

Produce detailed and accurate budgets to meet clients brief and deliver strong profit returns to FP

Accurate management of budgets to ensure all events are delivered within client budget

Regular reporting of budget status to client and internally within FP

Complete accurate reconciliations within 30 days of event delivery date

Produce accurate project revenue reporting and forecasting

Complete daily time sheets to ensure time is allocated correctly

Supplier And Partner Management

Continual improvement of our supplier base by seeking new event industry innovations, deepening of supplier and venue relationships

Monitoring and spot checking of supplier performance and compliance by continual review and SWOT process

Contribute to the development and deepening of a knowledge bank of venues, hotels, destinations and services that ensures FP are positioned at the forefront of the event industry in providing expert advice and recommendations to clients

Team Work And Personal Development

Build excellent relations with colleagues in all FP Global Offices through positive and constructive communications

Assist in mentoring and managing colleagues, new starters and demonstrating leadership on team driven project delivery

Take responsibility for building skillset and continually enhancing personal performance through active involvement in learning and development opportunities and personal development reviews

SKILLS AND EXPERIENCE

Extensive event management and project planning skills

Prior event management experience preferably in an agency environment

Advanced project management skills, including: budget creation, management and reconciliation

Excellent supplier knowledge and negotiating skills

Demonstrated first-hand knowledge and experience of venues and destinations in EMEA

Strong network of supplier contacts and established working relationships

Strong knowledge of registration, conferences, meetings, F&B, and production management

Experience in contributing to and supporting pitch and presentation for new business

Good/advanced working knowledge of the MS Office Suite

Excellent communication and interpersonal skills

Creative problem solver, resourceful, team player

Highly organised, adaptable and proactive
