Making sure we deliver a 5-star experience from the coordination with event planning to the moment the event happens.
OVERALL OBJECTIVES Selling of the hotel’s private dining, meetings, social events and restaurant bookings The job of Meeting & Events Sales Executive is executed satisfactorily when: • The hotel achieves its financial objectives • The person achieves their revenue objectives • The person achieves their personal objectives • Full support in terms of administration • Thoroughly input and maintain the requests in the Opera S&C System and Open Table according to the data input standards • Ensure the perfect organisation of an event from the signature of the contract until the final invoice • Ensuring restaurant bookings in open table are correctly entered and confirmations sent • Follow up on sent out proposals within 24 hours (1 working day) to ensure the client has received the information and to clarify possible questions and issues • Ensure a proper handover of the converted business to the Private Dining team with all relevant information forwarded • Conduct exit interview with important customer after their event – asking for future business • Proper maintenance of lost / cancelled and unconfirmed business • Further administrative tasks and other possible assigned duties • Performs any other duties as assigned to them by management • Attend weekly Food & Beverage Meeting and Function Sheet meeting
MAIN RESPONSIBILITIES • Direct receipt, qualification and coordination of event & group requests (incl. leads, RFPs, etc.) • Handle requests according to the relevant standards within a maximum of 5 (business) hours of its receipt • Apply department SOP’s from group enquiry to contracting • Ensuring restaurant bookings in open table are correctly entered and confirmations sent • Ensuring all existing bookings for the restaurant are contacted 48 hours in advance • Ensure the ideal and most effective utilisation of the meeting and conference rooms • Carry out site inspections with potential MICE, Corporate, Leisure clients in coordination with the Sales department • Realise up sell possibilities to meet and surpass budget goals • To increase the average check / revenue for The Game Bird and all function rooms • To liaise and work closely with Private Dining, Restaurant, Food and Beverage, Sales, PR and Revenue for increased exposure and promotion • Additional responsibilities and tasks can be added at any time according to the needs of the business and of the hotel Essentials: • Experience within a similar role • Able to work within a fast-paced environment • Well organised, quick and efficient • Possesses people skills, and is a good communicator • Has a positive attitude • An excellent level of written and spoken English
